Assist the Front Office Manager in overseeing the daily operation of the front desk, ensuring the highest levels of customer service and guest satisfaction at all times.
Responsibilities
- Ensure the best first impression of the hotel for all guests and visitors by treating all individuals in a warm, professional, and respectful manner.
- Train new hires, ensuring that all new employees are fully trained on hotel procedures, computer systems, and guest service.
- Lead and communicate in an inspiring manner.
- Supervise daily shift processes ensuring all team members adhere to standard operating procedures.
- Ensure exceptional guest service at the Front Desk at all times.
- Maintains a friendly, cheerful and courteous demeanor at all times.
- Oversee tasks delegated by the Front Office Manager
- Ensure arrivals are reviewed during the shift and requests are honored as much as possible. May review arrivals into the future to ensure guest requests for room locations are accommodated and routing is correct
- Review the Group Resume and ensure that routing, comments, room assignments are all correct and accurate. Will assist in preparing any pre-reg/pre-key group key packets and check-ins when necessary and instruct GSAs on this procedure
- Assist GSAs at the front desk as needed, covering breaks, and ensuring that the shift runs smoothly for our arriving and departing guests.
- Required to assist in resolving scheduling issues such as call-outs when necessary as well as handle guest complaints and concerns.
- Schedule valet weekly and ensure that any add-on events are communicated to valet vendor
- Maintain the supply of often used office supplies for both front desks, working with vendors to ensure that items are well stocked at all times.
- Respond to info-site emails and guest inquiries as assigned by the Front Office Manager
- Monitor the requests of Credit Card Authorization Forms and assure that all billing is set up correctly before guest departure.
- Ensure all ancillary sales binders are current and organized. Be present as scheduled for any art shows or vendor fairs to ensure credit card transactions are completed correctly.
- Write and send a daily shift report in the absence of the Front Office Manager.
- Ensure maintenance of department logs and trackers for inventory, compensation, etc.
- Perform additional duties as requested by the Front Office Manager
Skills & Qualifications
- Superior interpersonal and communication skills.
- High attention to detail and follow through.
- Required to be willing and able to work flexible hours including evenings on Fridays, Saturdays, and Sundays, as well as holidays.
- The position requires mobility. While performing the duties of this position, the employee is frequently required to sit, kneel, stand, stoop, bend, stretch, communicate, reach, and manipulate objects.
- Must be able to bend, squat and lift up to 50 pounds, as well as be able to push and pull carts and luggage weighing up to 100 pounds.
- Must be able to stand for extended periods of time.
- A successful candidate will have had experience at a hotel front desk and excelling in a fast-paced environment.
- Hearing and visual ability to observe and detect signs of emergency situations.
- Ability to climb stairs, bend, reach above shoulders, kneel, twist, and grip items.
- Must be able to stand and walk for extended periods of time.
- Must be able to respond to visual and auditory cues (telephone, radio)
- Ability to push and/or pull equipment weighing up to 50 lbs.
- Ability to lift and carry objects weighing an average of 25-50 pounds.
- Ability to extend arms overhead to perform various technical tasks, and work in confined spaces, under varying temperature extremes.
